Web Applications

Website or Web Application: Which Does Your Business Need?

The difference between a public website and a web application, with simple questions to decide which one fits your business, and when you need both.

Dual monitors and a laptop showing application code

"Website" and "web application" are often used as if they mean the same thing. They do not, and choosing the wrong one leads to either an expensive product nobody needs or a simple site that cannot do the job.

What a website does

A website is mainly for people outside your business. It explains what you offer, builds trust and turns a visitor into an enquiry, a call or a sale. Most of its pages are the same for every visitor. Its success is measured by whether the right people find it and contact you.

What a web application does

A web application is software that people log into. Each person sees their own records and can create, change or approve things. A staff portal, a booking system, a client dashboard or an internal order tool are web applications. Its success is measured by whether the work gets done faster and with fewer mistakes.

Five questions that decide it

  • Do people need to sign in to see their own information?
  • Do different people need different permissions?
  • Will the data change many times a day?
  • Does the product replace a spreadsheet, a paper form or a manual process?
  • Does it need reports, approvals or an audit trail?

If you answered yes to two or more, you are probably describing a web application.

When you need both

Many businesses need a public website and a private application behind it. A clinic might have a website that explains its services and a booking application that patients and staff use. Planning both together keeps the design consistent and lets the website send people straight into the right part of the application.

Cost and time differ

A website's effort is mostly in content, design and search visibility. A web application's effort is in data structure, permissions, workflows, testing and security. That is why a quote for an application usually includes more stages and more testing time.

Start small, but structure it properly

If you are not sure, start with the smallest version that solves one real problem. Even a small application should be built on a proper data model and role system, so it can grow without being rebuilt.
